AES simply means Automated Export System and it is a principal structure used by the Census Bureau to collect US export data.
In line with the US government requirement, any shipment going out of the USA that has a single commodity going from one seller to a buyer, for which the value is more than $2500 must have AES filing. This is compulsory for all shipment of that status, hence any shipment without the AES filing will not be shipped out and will be advised for a return.
When is a filing necessary?
A filing is necessary when there is a single commodity that is more than $2500 that is going from a US seller to a foreign buyer. The examples below will highlight when AES is needed.
Shipment A is going from company X to buyer Y with the following contents
3 Laptops - Each - $700; 2 Wrist Watches – Each $250; 4 T-shirts – Each $70
The total cost of all items is $2100 + $500 + $280 = $2880
Even though this is more than $2500, an AES filing is not required because no single commodity is more than $2500
Shipment B is going from company X to buyer Y with the following content
3 Laptops - Each - $900; 2 Wrist Watches – Each $250; 4 T-shirts – Each $80
We should just be bothered about the total cost of each commodity, in this case the only commodity with a value of $2500 is the 3 laptops as the total cost is $2700, hence, an AES filing is required

Shipment C is going from company X to buyer Y with the following content
3 Laptops - Each - $900; 2 Wrist Watches – Each $1300; 4 T-shirts – Each $80
We should just be bothered about the total cost of each commodity, in this case two commodities with values more than $2500.
The 3 laptops of value $2700 and the two wrist watches of value is $2600, in this respect, 2 separate AES filings must be done.
Shipment D has items from 2 companies
Company X to buyer Y with the following contents
2 Laptops - Each - $900; 2 Wrist Watches – Each $300; 4 T-shirts – Each $80
Company Z to buyer Y with the following contents
2 Laptops - Each - $800; 2 shoes – Each $200
In this case, we look at each commodity to see the one that has a value more than $2500 that is coming from same Seller to the same Buyer. The total of the laptops is $1800 + $1600 = $3400. However, because they are coming from different sellers and no single seller is selling a single commodity that is more than $2500. No AES filing is required here.
As the examples above show, only when the total cost of a single commodity is from a given seller going to a given end user is more than $2500 do we file an AES.
NOTE: Once your items have been updated and the estimated value is up to or more than $2500 you will be contacted to file an AES for your item, however, if the value updated beside your item is not correct, you can always provide us with your invoice to correct the value of your item.
What is Required to File an AES
The following items are needed to file an AES
FROM SELLER
Sellers Name (Company Name) and Address
A Contact Person at the Company – Name, Phone Number and Address.
DUNS Number or EIN Number of the Seller
FROM BUYER
Buyers Name (Company Name) and Address
A Contact Person at the Company – Name, Phone Number and Address.
Will the Buyer be selling or using these items directly
Invoice of purchase
Total Value of Items
NOTE: In instances, when you as a customer/buyer may not be able to get the required EIN number such as when the purchase is from Amazon, Best Buy etc. In these cases, we have just one option, we can ship the items in batches, breaking them up so that the total value of each shipment out of the US is not more than $2500. E.g if a customer buy 8 valued at $4600 worth of Laptops from Amazon and is not able to get the EIN then we can ship 4 laptops week 1 and the balance 4 in week 2 so they go in separate shipment.
